How to use Standard Documents library
Build your Standard Documents library.
- Open Admin Portal → Workspace → Standard Documents.

Standard Documents library — scope + record-type filters email-standard-documents_list.png - Click New. Enter a clear name (this is what operators see in the picker) and an optional one-line description.
- Upload the file. PDFs, Word docs, images — up to 50 MB. The upload lands on S3 and a CRM
filesrow is created; this library entry points at it.
Editing a standard document — upload, scope, group, record type email-standard-documents_edit.png - Pick the scope. Tenant-wide for "every operator can pick this"; Group only + a User Group for "only members of that group see this". Group-only is useful for team-specific letterheads or signed-off contract drafts the wider team shouldn't touch.
- (Optional) Lock to a record type. Set Record type to scope the doc to one entity. Terms & Conditions → Order; Induction Pack → Placement. Leave blank for universal availability.
- Sort + Active. Lower sort numbers appear higher in the picker. Inactive docs are hidden but stay in the audit chain for past sends.
- Replace a doc on the fly. Re-open any entry and upload a new file. The library entry re-points at the new file_id; older comm_log rows still reference the prior file (audit chain stays exact).
